Privacy Policy

This Privacy Policy explains how CareCertify LLC (“CareCertify,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the website at carecertify.net, the CareCertify learning platform, and related products and services (the “Services”). It applies to learners, agency and employer customers, and visitors to our site. By using the Services, you agree to this Policy. Your use of the Services is also governed by our Terms & Conditions.
1.Information We Collect
We collect information in three ways:
Information you provide to us. This includes details you submit when you create an account, enroll in a course, or contact us — such as your name, email address, phone number, employer or agency, job role, login credentials, course selections, and any messages or documents you send us. If you make a purchase, payment is handled by our payment processor; we receive confirmation and limited transaction details but do not collect or store full payment card numbers.
Information collected automatically. When you use the Services, we and our providers may automatically collect usage and device information, such as your IP address, browser and device type, pages viewed, course progress and completion activity, referring pages, and the dates and times of access. Some of this is collected through cookies and similar technologies described below.
Information from others. If an agency, employer, or other organization enrolls or sponsors you, we may receive your contact and enrollment information from that organization. We may also receive information from service providers that support payments, analytics, and advertising.
2.How We Use Information
We use the information we collect to:
- provide, operate, and maintain the Services, including delivering courses, tracking progress, and issuing certificates;
- create and manage accounts and authenticate users;
- process payments, enrollments, and refunds;
- communicate with you about your account, purchases, support requests, and important notices;
- provide completion records to the agency or employer that sponsored your enrollment, where applicable;
- improve, personalize, and develop the Services and our course content;
- measure performance, conduct analytics, and prevent fraud, abuse, and security incidents;
- send marketing or informational messages (which you can opt out of); and
- comply with legal obligations and enforce our Terms.
3.Cookies & Similar Technologies
We and our service providers use cookies, pixels, and similar technologies to keep you logged in, remember preferences, understand how the Services are used, and support analytics and advertising. Cookies generally fall into these categories: strictly necessary (required for the site to function), functional (remember settings), analytics (help us understand usage), and advertising (help measure and deliver relevant ads). You can control cookies through your browser settings and, where offered, through any cookie banner or preference tool on our site. Disabling some cookies may affect how the Services work.
4.How We Share Information
We do not sell your personal information for money. We may share information in the following limited circumstances:
- Service providers. With vendors who perform services on our behalf — such as website hosting, payment processing, video and content delivery, email delivery, customer support, and analytics and advertising — under obligations to protect the information and use it only to provide those services.
- Sponsoring organizations. With the agency or employer that enrolled or paid for your training, including your enrollment status, course progress, and completion records, so they can maintain their own training documentation. See Section 6.
- Legal and safety. When we believe disclosure is necessary to comply with law, legal process, or a government request; to enforce our Terms; or to protect the rights, property, or safety of CareCertify, our users, or others.
- Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.
- With your consent. In other cases where you direct or permit us to share.
5.Advertising & Analytics
We use analytics and advertising technologies (including those provided by third parties such as search and advertising networks) to understand site usage and to promote our courses. These technologies may use cookies and similar identifiers to measure ad performance and to show you relevant ads on other sites. Under some state privacy laws, the use of these technologies may be considered “sharing” or processing for targeted advertising. You can limit this through your browser and device settings, any cookie preference tool on our site, and the opt-out mechanisms offered by the relevant advertising platforms.
6.Agency- or Employer-Sponsored Accounts
Many learners use the Services because an agency or employer has enrolled or sponsored them. If your account is sponsored, the sponsoring organization may have access to information about your enrollment, course progress, completion dates, and certificates so it can maintain its own training and compliance records. That organization’s use of your information is governed by its own policies, and you should review those directly. If you signed up on your own, this Section does not apply to you.
7.Data Retention
We retain personal information for as long as needed to provide the Services, maintain training and completion records, comply with our legal and contractual obligations, resolve disputes, and enforce our agreements. Because training records and certificates may need to be kept for documentation purposes, completion records may be retained even after an account is closed. When information is no longer needed, we take reasonable steps to delete or de-identify it.
8.Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential and for notifying us of any suspected unauthorized use.
9.Your Privacy Choices & Rights
Depending on where you live, you may have rights regarding your personal information, such as the right to request access to, correction of, or deletion of the information we hold about you, and to opt out of certain uses. To exercise a request, contact us using the details in Section 16. We will respond as required by applicable law and may need to verify your identity before acting. We will not discriminate against you for exercising these rights. If your information was provided to us by a sponsoring organization, we may direct your request to that organization where appropriate.
10.Marketing Communications
You may opt out of marketing emails at any time by using the unsubscribe link in those messages or by contacting us. Even if you opt out of marketing, we may still send you non-promotional messages about your account, purchases, or the Services.
11.Children’s Privacy
The Services are intended for adults and are not directed to children. We do not knowingly collect personal information from children under the age of 13 (or under the minimum age required in your jurisdiction). If you believe a child has provided us with personal information, please contact us and we will take appropriate steps to delete it.
12.Third-Party Links
The Services may contain links to third-party websites or services that we do not control. This Policy does not apply to those third parties, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.
13.Where Information Is Processed
CareCertify is based in the United States, and the information we collect is processed and stored in the United States. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your location.
14.Do Not Track
Some browsers offer a “Do Not Track” signal. Because there is no common industry standard for how to respond to these signals, the Services do not currently respond to them. You can still manage tracking through the cookie and advertising controls described above.
15.Changes to This Policy
We may update this Policy from time to time. When we do, we will revise the “Last Updated” date above and, where appropriate, provide additional notice. Your continued use of the Services after changes are posted means you accept the updated Policy.
